Building and managing Pathways

A guide for admins and managers using the Pathway Builder in Uhubs.

What is the Pathway Builder?

The Pathway Builder is where you design, structure, and launch development journeys for your team. It's the admin and manager view of Pathways - the same content your team members work through, but from the creator side.

With the Builder you can:

  • Build a Pathway from scratch - start with a blank canvas and shape it your way

  • Use existing content - pull buckets and tasks from your other Pathways into a new one

  • Use a pre-built Uhubs template - launch one of our ready-made Pathways as-is, or duplicate and edit it before going live

Whether you're onboarding new joiners, rolling out a product launch, or running a skill development program, the Builder gives you one place to design the experience, assign it, and track who's progressing.

Where to find the Builder

Pathways live inside your Uhubs dashboard.

  1. Log in to Uhubs

  2. Open the main menu and click Pathways

  3. This takes you straight to the Builder section

You'll also see three tabs across the top:

  • Builder - design and edit Pathways

  • Progress - track team member progress across Pathways

  • Quizzes - manage your quiz library

To preview what your team members actually see, click Go to My Pathways in the top right - this is the fastest way to sanity-check a Pathway before launching it.

Three ways to start a Pathway

You don't have to build everything from a blank canvas. The Builder gives you three starting points, depending on how much structure you already have:

1. Build from scratch

Best when you have a clear idea of what you want and need full control over structure and content. Start with an empty Pathway and add buckets, tasks, and quizzes as you go.

2. Use existing content

If your team already has Pathways in place, you can pull buckets from those into a new Pathway. This is useful for adapting onboarding content for a new role, or building a refresher Pathway from existing materials. A bucket can live in more than one Pathway, so you don't have to duplicate it.

3. Use a pre-built Uhubs template

Uhubs ships with a library of pre-built Pathways covering common use cases (SDR onboarding, prospecting, AE onboarding, time management, and more). You can launch them as-is, or duplicate and edit them to match your company's tone, processes, and product.

Templates are available at the bottom of the Builder section.

Understanding the structure

Every Pathway you build follows the same hierarchy:

Pathway → Buckets → Tasks

  • Pathway - the full journey (e.g., SDR Onboarding)

  • Buckets - themed groupings within the Pathway, scheduled by Week and Day (e.g., Company Strategy Bucket, Week 1 Day 3)

  • Tasks - the individual activities inside each bucket (videos, quizzes, activities, documents)

Buckets can also be tagged by audience and theme (e.g., SDRs/BDRs, Onboarding, BDMs/AEs) so they're easy to filter, reuse, and target.

How to build a Pathway

You don't have to do these in strict order - most admins build the structure first and fill in detail later. Use this as a checklist.

1. Create the Pathway

From the Builder, create a new Pathway and give it a name. You can rename it any time from the Manage Pathway settings.

2. Customise the theme

Make each Pathway visually distinctive - useful when team members have several Pathways assigned at once. From Manage Pathway, set:

  • Colour - pick a gradient or solid colour for the Pathway tab

  • Icon - a letter or symbol that appears on the tab

  • Emoji - a small visual marker for quick recognition

3. Add buckets

Buckets are the building blocks of your Pathway. For each one, set the bucket name, status (Live or Draft), Week and Day, tags, owner, assignees, and a description. The description supports rich text - headings, videos, links, and call-out boxes - so use it to give context, not just instructions.

4. Add tasks and quizzes inside each bucket

Inside each bucket, you can add as many tasks and quizzes as you need, but we recommend a maximum of 10 tasks per bucket:

  • + CREATE TASK - for an activity, video, document, or other learning unit

  • + ADD QUIZ - for a knowledge check

Each task has a name, description, and a task type (see the next section).

5. Reorder freely

You can move tasks around within a bucket - and buckets within a Pathway - into whatever order makes most sense.

The order team members see is the order you set, so think about flow: introduction → context → practice → check. Don't be afraid to reorder as the Pathway takes shape.

6. Assign team members

From Manage Pathway, choose the assignees. You can assign individuals or groups, and toggle whether they get a notification when assigned.

7. Go Live

When you're ready, flip the Live toggle on each bucket (and on the Pathway as a whole). Anything not Live won't appear for team members - useful while you're still drafting.

Task types

When you create a task, you choose a task type from the dropdown. The type sets the icon team members see and signals what kind of activity it is. Picking the right type matters - team members use these icons to scan a bucket and understand at a glance what's coming up.

The dropdown also includes additional types beyond these - scroll through the full list when creating a task to find the closest match.

Bucket details - what each field does

When you click into a bucket, the right-hand panel gives you full control over how it behaves:

  • Live toggle - when on, the bucket appears in your team members' Pathway. Off = draft only

  • Bucket name - the title team members see

  • Add tag - for filtering and audience targeting (SDRs/BDRs, Onboarding, etc.)

  • Owner - the named contact for this bucket; team members reach out here with questions

  • Complete by - the Week and Day in the Pathway timeline (e.g., Week 1, Day 1)

  • Assignees - who gets the bucket; toggle Notify assignees to send them an alert when assigned

  • Pathways - which Pathway(s) this bucket belongs to (a bucket can live in more than one)

  • Description - rich-text context with videos, links, headings, and call-out boxes

  • Activities - the tasks and quizzes inside the bucket

Pathway settings

From the Pathway settings button you control behaviour at the Pathway level:

New Bucket auto-assignment

When on, team members already assigned to the Pathway automatically receive any new buckets you add

Pathway assignment Notification

When on, team members get an alert when they're first assigned to the Pathway

Set 'Complete by' targets

When on, team members see the Week/Day deadlines on each bucket. Turn off for a more flexible, self-paced experience

These settings are useful to revisit periodically - for example, switch off Complete by targets if you want to relax the timeline mid-quarter, or switch on New Bucket auto-assignment before adding a new module so existing team members pick it up automatically.

Tracking team member progress

The Progress tab (next to Builder) shows how your team members are moving through their assigned Pathways. Use it to:

  • Spot team members who are falling behind

  • See completion rates across buckets and Pathways

Pair this with the Quizzes tab to review knowledge-check results, which often highlight where team members need extra coaching or where the content itself needs to be clearer.

Switching between admin and team member view

Click Go to My Pathways in the top right of the Builder to see Pathways from a team member's perspective. Walk through your Pathway as if you were assigned to it - it's the fastest way to catch broken links, missing context, or an awkward order before launching.

A few good habits

  • Build the structure first, fill in detail second - sketch all your buckets and the broad task list before writing descriptions. It's easier to spot gaps when you can see the shape

  • Keep buckets focused - one theme per bucket. If a bucket has more than ~10 tasks, consider splitting it

  • Preview before launching - always click *Go to My Pathways* and walk through the Pathway as a team member before going Live (you will need to make the pathway live and then assign the pathway to yourself for this to become visible).

  • Set a clear bucket Owner - team members will reach out to whoever's listed; don't leave it blank

  • Revisit after the first cohort - once a few team members have been through, check the Progress and Quizzes tabs and refine the content

Need help?

If something isn't behaving as expected - content not appearing, assignments not landing, settings not saving - you have two routes for support:

  • Check Pathway settings first - many issues come down to a bucket or Pathway not being set Live, or auto-assignment being toggled off

  • Use the in-platform chat - someone from the Uhubs team will pick it up and help you troubleshoot
