How to set up a pulse

This article walks an admin through creating a pulse from scratch, adding participants, launching it, and understanding when data becomes available.

A pulse is a paired survey - one completed by each rep about themselves, one completed by their manager about that same rep. When both are submitted, Uhubs calculates capability scores, blindspot gaps, performance and coaching insights for the team.


Before you start

You'll need:

  • Admin access to your Uhubs account

  • Users already added - reps and their managers must exist in the system with the correct manager–rep relationships configured. If you haven't done this yet, please go to the 'add team member tab' to edit any existing user.

  • A clear timeframe in mind - pulses have an open window during which participants complete their surveys. Typical windows are two to four weeks.


Step 1: Create a new pulse

  1. From the admin dashboard, go to Pulses in the left navigation.

  2. Click Manage Pulse (top right).

  3. Click Launch new Pulse.

  4. Give the pulse a name. Include the period and team in the name so it's easy to identify later - for example, Sales Team -January 2026.


Step 2: Add participants and Pulse type

Participants are the reps who will complete the self-review. Their managers are automatically included on the manager side - you don't add managers separately.

  1. On the Participants screen, select the team members who will participate.Search for reps by name or email and select them. You can add an entire team at once by selecting the tick box next to the manager name.

  2. Review the list. For each rep, confirm the manager shown is correct. If a manager is wrong, fix the user's profile before launching.

  3. Review the Pulse type and ensure each rep has the Pulse aligned with their role.

  4. Click next step.

Important: A rep with no manager assigned cannot be added to a pulse. The platform requires a manager to complete the paired review.


Step 3: Set the launch date

  1. Set a launch date - the date and time survey invitations are sent to participants.

A few practical guidelines:

  • Give participants at least two weeks to complete both surveys. Shorter windows lead to lower completion rates and incomplete data.

  • Avoid closing a pulse during a major company event, end-of-quarter crunch, or public holiday period.

  • You can extend the close date after launch without affecting existing submissions.


Step 4: Preview and Launch

  1. Review those who you have added to the Pulse, if all is correct, click schedule launch.

  2. if you require changes click previous step.

When you're satisfied, click Launch pulse. Invitation emails go out immediately (or at the scheduled open date if you set one in the future).


What happens after launch

Completing the surveys

Each participant - rep and manager - receives an email with a link. The self-review and manager review are independent: either can be completed first, in any order.

Progress is visible in Pulses → [Pulse name] → Completion. The table shows, for each rep:

  • Whether the self-review is submitted

  • Whether the manager review is submitted

  • Whether both are complete (the record is then ready)

When results appear

Results are not calculated until both reviews for a rep are submitted. Once both are in, the platform processes the data and updates its reports approximately every 15 minutes.

After that refresh, the rep's capability scores, strengths, development areas and blindspots become visible to their manager and to admins.

If a rep has submitted and you'd expect their scores to show but they don't appear after 20 minutes, check that the manager review is also marked as submitted. Incomplete manager reviews are the most common reason scores are absent.

The scoring you'll see

Once scored, each rep gets two types of output:

  • Capability scores (0-100): how the manager and rep each rated performance on every competency in the framework. The gap between them is the blindspot score - the wider the gap, the larger the self-perception mismatch.

  • Pulse score (0–100): a composite score across all competencies, normalised to a 0–100 scale. This is what drives leaderboard rankings.

These are different numbers on different scales - they are not interchangeable.


Closing a pulse

. You can close a pulse manually from Pulses → [Pulse name] → three dots → Close pulse.

After closing, any rep whose pair of reviews was never fully completed will have no scores for that pulse. Their data will not appear on leaderboards or in reports for that period.


Common issues

A rep didn't receive their invitation email Check their email address in their user profile. If it's correct, ask them to check their spam folder. If they still haven't received it, contact Uhubs support.

Scores aren't showing after both reviews are submitted Wait up to 20 minutes for the next scheduled data refresh. If it still does not show, contact support with the rep's name and pulse name.

The pulse type is wrong You can only change pulse type provided that no surveys have been completed. To change it click manage Pulse, navigate to the rep you want to change, click the drop down under Pulse type, to change the Pulse.
